Record what you pay, what staff actually use and when you can change it. This audit flags possible savings; it cannot establish that two tools safely replace each other.

Method, assumptions and limitations

Annual cost = paid seats × per-seat period price × 12 for monthly billing, or × 1 for annual billing. Potential annual saving = max(paid seats − actual users, 0) × annual per-seat price. Actual users greater than paid seats are flagged for investigation, with no invented savings.

Check minimum seat commitments, tier thresholds, cancellation rules, data export, integrations and staff needs before reducing licences. Renewal dates are reminders only; the tool does not send notifications. Blank renewal dates remain unknown.
