Standardise the requirement before the equipment

A business with several premises needs a repeatable specification, but identical equipment lists do not necessarily produce identical results. Entrance distances, illumination, building layout, power and internet differ. Start with common evidence and administration requirements, then record site-specific exceptions.

Use a site register with an owner, business purpose, recording target, authorised users and support contact. Record the equipment that is actually installed. A standard that cannot be checked during commissioning creates little operational value.

Define the common baseline

  • Evidence goals for entry, customer-facing areas, stock and deliveries.
  • Retention rationale and the assumptions used for storage.
  • Account ownership, role permissions and offboarding.
  • Supported firmware, recovery and time synchronisation.
  • Incident export process, documentation and acceptance tests.

Do not force a single camera lens onto every entrance for purchasing convenience. Standardise the decision and the verification method. Allow the final view, equipment suitability and mounting to depend on each site.

Choose local and central functions deliberately

Local recorders can reduce continuous internet dependence for recording. A central management platform may improve administration or incident access, but it introduces compatibility, licensing, server and network requirements. The correct design depends on what staff need to do, not simply whether a product advertises multi-site access.

Ask the supplier to identify which events, streams and recordings travel over each connection. Distinguish continuous central recording from occasional viewing, event thumbnails and incident downloads. Confirm behaviour when a connection fails, including what is retained locally and what can be retrieved later. Backfill behaviour must be verified for the exact products and software rather than assumed.

Use aggregate bandwidth examples carefully

Ten sites each sending four 4 Mbps main streams simultaneously would generate an illustrative 160 Mbps of combined video traffic before other overheads. Occasional low-bitrate substream viewing can be very different. The calculation does not establish the actual service or server specification.

Measure the proposed operating pattern. Check each site’s usable upload capacity, data allowance and outage history, as well as the receiving location’s capacity. A fast download service at headquarters does not fix a site with an inadequate upload path.

Control privileged access across locations

Give people the minimum access necessary and document who may add or remove users. Where supported, use individual identities and strong authentication. Avoid one shared administrator password known to every branch and contractor. Confirm recovery access that survives a staff departure.

Remote access should use an assessed and maintained design. Simply exposing recorder administration to the internet can create unnecessary risk. Keep an access register, review external providers and record how access is revoked when a service arrangement ends.

Pilot one representative site

Choose a location that reflects real operating difficulty rather than the easiest premises. Test installation time, image usefulness, recorded bitrate, retention, remote viewing, account permissions and incident export. Resolve unexpected licensing or support costs before duplicating the design.

Use the pilot’s measured results to update a standard scope and an exception schedule. Obtain separate prices for equipment, installation, platform licensing, support and transition. A bulk discount can be outweighed by repeated installation surprises or an administration model that requires constant manual effort.

Prepare a phased enquiry

State the number and type of sites, rollout timing, existing equipment, local recording requirements and who needs central access. Do not place credentials or sensitive location details in a public tool. The request form supports a summary, with detailed plans exchanged only through a separately agreed safe process.

BoxFreeIT’s commercial path connects suitable equipment enquiries to Security Wholesalers and assesses installation requests with the related team. Common ownership is disclosed. Multi-site deployment, specialist integration and service coverage require individually confirmed scope and quotations.
